Privacy notice · 23 October 2026
Who is responsible for your information?
Shannon Maritime Marine Surveyor's Limited is the data controller for these enquiries and bookings. Safe Maritime Intelligence (SMI) provides our engineering and technical support.
For privacy enquiries or to exercise your rights, contact Shannon Maritime at info@shannonmaritime.ie or +353 87 165 6694.
Correspondence address: Shancurrragh, Coosan, Athlone, Co. Westmeath, Ireland.
What we collect
You give us your contact details, vessel particulars, survey location, access arrangements and preferred date and attendance period. We also record the quoted fee, booking reference, terms accepted and communications about your survey. Please include only information needed for the enquiry or survey, including when providing another person's contact details.
The website and its security providers process technical information such as your IP address, browser details and request or security records. The booking form does not collect card or bank details.
Why we use it
- Enquiries and bookings: to answer your request, reserve your survey date, arrange access, send confirmations and carry out the agreed service. This is necessary to take steps at your request before a contract and to perform that contract.
- Business contacts: where you act for a vessel owner, insurer or another organisation, our legitimate interest is arranging and delivering that organisation's survey.
- Security and reliable service: our legitimate interests are preventing spam, duplicate or conflicting bookings, investigating failures and protecting our records. The form uses Cloudflare Turnstile for this purpose.
- Business records: we retain information needed to meet applicable accounting and legal obligations and, where necessary, for our legitimate interest in establishing or defending legal claims.
Required fields allow us to identify the customer and vessel, confirm the fee and arrange attendance. If they are not supplied, we cannot complete an online booking; you can call us to discuss your requirements. Booking does not subscribe you to marketing.
Who handles the information
Our surveyor and authorised SMI technical support can access information needed for their work. OpenAI Sites hosts the website and booking records using Cloudflare infrastructure. Google Workspace handles our business email and booking calendar. Cloudflare Turnstile checks browser and network signals to help distinguish visitors from automated traffic.
These providers may process data outside the European Economic Area. Their published data-processing terms provide for safeguards such as European Commission standard contractual clauses or applicable adequacy decisions. You can ask us for information about the safeguards relevant to your data:
- OpenAI Sites data-processing terms
- Google Workspace data-processing terms
- Cloudflare data-processing terms and Turnstile privacy notice
Cloudflare also uses Turnstile signals to improve its bot detection, as explained in its notice. We may disclose relevant information to professional advisers or authorities where necessary for legal obligations or claims. We do not sell booking information.
How long we keep it
Retention depends on the record's purpose. We keep enquiry information while dealing with the enquiry and any resulting service. Booking, correspondence and survey-related records are kept for the service and any follow-up, and for applicable accounting, insurance and legal-claim requirements. Relevant information may need to be retained while a complaint or claim is unresolved.
Security and delivery records are kept as needed to investigate problems and demonstrate what happened. Information should be deleted or anonymised when those purposes and obligations no longer require it. Contact us if you would like us to review retention of a particular record.
Your browser and booking checks
While a booking request is being confirmed, this tab keeps a temporary copy in session storage so it can recover after a lost connection. The site clears it once the outcome is verified; closing the tab also ends that browser session. Clearing browser storage does not cancel an accepted booking.
We do not add advertising or analytics cookies. Hosting, sign-in and security services may use storage needed to operate and protect the service. Contact links open your phone or email application.
Automated checks validate the form, calculate the fee, assess spam risk and confirm whether a date remains available. They do not make professional survey findings or insurer coverage decisions. If a check prevents your booking, call us for help.
Your rights
Depending on the circumstances, you can request access to your personal information, correction, erasure, restriction or a portable copy. You can object to processing based on legitimate interests. These rights are subject to the conditions in data-protection law; for example, we may need to retain a record to meet a legal obligation or address a claim.
Use the contact details above. We may need to verify your identity before disclosing or changing personal information. You can also complain to Ireland's Data Protection Commission.
